Role Purpose:

The Receptionist, as the primary front of house representative, will provide a welcoming and professional environment for this national utility (a client of OCS) based in north Dublin.

As the first point of contact for visitors, contractors, and employees, the Receptionist will deliver an effective and efficient front of house service, whilst also providing administration and operational support to the wider Facilities & Building Services Team of which this person will be part of this team.

Key Responsibilities:

  • Operating the Switchboard, dealing with the public and internal calls as appropriate. Providing information to callers, taking and relaying messages efficiently
  • Responsible for all visitors, from initial welcome to ensuring they are issued with correct security identification. All visitors must be announced to their host & ensure visitor is met by their host
  • Oversee postal, parcel and courier services efficiently.
  • Booking couriers, responsible for ensuring both incoming and outgoing consignments are received and delivered.
  • Maintain a safe & clean reception area, ensuring lay out is tidy and welcoming and materials are replenished
  • Build positive relationships with stakeholders through a customer-focused approach.
  • Monitor the facilities mailbox & assign tasks promptly. Escalate to the appropriate person in the facilities department if there is something you are unsure
  • Provide administrative and operational support to the Facilities & Building Services Team.
  • Utilise the in-house building services systems (training provided).
  • Performing general office /administration duties as required
  • Provide support with record keeping and document management.
  • Manage the joiner / leaver processes (training provided)
  • Demonstrate a team approach in the delivery of a co-ordinated Building Services.
  • Consistently demonstrate ways to improve processes for the team and front of house.
  • Perform other general administration duties for the team as may be required of you given the broad nature of the role & the time available

Essential Hiring Criteria:

  • Excellent customer service
  • Strong communication (verbal & written) and interpersonal skills
  • Good organisational & administration skills and ability to prioritise workload efficiently
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and keep multiple customer issues in progress at once
  • Problem-solving skills
  • Facilities & Building Management experience (advantageous)
  • Flexible attitude and proven record as a strong team player
